A bulk enquiry is not simply a bigger version of a single-machine enquiry. Once you are buying more than one machine, or fitting out a line, or placing a repeat order against a schedule, the questions change: build slot, staggered despatch, spares held against your order, and a price that reflects the quantity rather than the list.

This page is what to send us so the first quotation is close enough to take to your purchase committee, instead of being the opening move in a long correspondence.

What makes a quotation accurate

The single biggest cause of a wrong quotation is a machine sized to a catalogue standard rather than to your work. Send the work, not the model number:

The pack itself — carton or load dimensions in millimetres, and the weight when full. Give the largest and the smallest you run, not the average.
Volume — packs per shift, and how many shifts. A machine that is right at 400 a day is the wrong machine at 4,000.
The consumable — PP strap width and thickness, tape width, film micron. If you are already buying these, tell us what you buy; matching an existing consumable is cheaper than changing it.
Power available — single or three phase, and whether the point exists at the packing bench or has to be run to it.
Floor — the space the machine has to live in, and how it will be brought in. A doorway has decided more machine selections than any specification sheet.

How the quotation is built

Quotations include free delivery across India, and GST is shown with the price.

Where a machine is configurable, the quotation lists what you are getting rather than a model name — table height, arch size, sealing width, wheel material — so your purchase team can compare like with like against another supplier's offer.

Quantity, schedules and OEM work

For multiple machines, tell us whether you want them together or staggered. A staggered despatch against a build schedule is usually cheaper for you and easier for us than holding finished machines.

For repeat business — the same machine, several plants, several months — say so at the enquiry stage rather than after the first order. It changes the price, and it lets us hold the wear parts against your name.

OEM and private-label enquiries are answered on the same terms: tell us the volume, the specification and the marking you need, and whether you want the machine supplied unbranded.

Large orders: 50 pieces or ₹5 lakh

Once an order reaches 50 pieces, or ₹5 lakh in value, it is handled as a bulk order, and supply is arranged at your location either through an authorised dealer or from the Faridabad Head Office. The quotation for an order of that size is put together differently from a single-machine price.

Batch build. All units of a model are assembled in the same planned slot, from the same parts and set the same way, so a machine at one site behaves like its twin at another.
Inspection before despatch. You or your inspector can watch your own units run at Faridabad before packing, if the date is planned at the enquiry stage.
One spares pack. A combined wear-parts pack for your central store, sized to the number of machines, instead of loose spares in every box.
Grouped records. Serial numbers, test records and GST invoices for the whole order kept together, which helps asset entry and audit.
Split destinations. Units can be divided between several of your sites within one order. Every destination appears on the quotation and delivery inside India stays free.

What comes back, and when

A quotation, a specification for each machine on it, and the commercial terms on one document. If a machine on your list is one we buy in rather than build — the office, safety and bags lines — the quotation says so on the line item. You should know which is which before you sign, not afterwards.

What to check on the quotation itself

When the quotation arrives, read it line by line before it goes to your purchase committee. These are the entries worth checking.

Machine description	The configuration you need is written out, such as table height, arch size, sealing width or wheel material, and the supply voltage where it matters.
Price and GST	The base price with GST shown separately at the applicable rate, as ₹ price + ₹ GST.
Delivery	Free to any address in India, with each delivery point named if there is more than one.
Payment terms	For a configured machine, usually an advance with the balance against despatch; simpler for standard machines and spares. See payment and GST invoice.
Validity	The date printed on the document. After it, ask for a revised quotation rather than ordering against the old figure.
Warranty	The cover for each machine: never less than 12 months from invoice for manufacturing defects, and longer where the model carries more.
Commissioning	Whether a visit is included, chargeable or not needed for that machine.
Built or bought in	Office, safety and bag items carry a note on their own line saying they are bought in.

Comparing our quotation with another one

Buyers put two quotations side by side and compare the bottom line, and that is where money gets lost. Two machines at the same price are rarely the same machine, and the difference is usually in four places.

Duty rating. A machine rated for intermittent use and one rated for continuous shift work can look identical in a photograph. Ask both suppliers for the duty on the datasheet.

What is included. Reel stand, toolkit, first set of wear parts, operating instructions — sometimes they are in the price and sometimes they are a line you discover later. Ask for the inclusion list, not the price.

What the wear parts cost. A cheap machine with expensive proprietary consumables is not cheap after a year. Ask for the price of the heater blade and the cutter before you sign, not after.

Who services it. Ask who actually comes when it stops, and where they come from.

From quotation to a clean purchase order

A sound quotation can still stall once it reaches the purchase order. Three habits keep the order moving after the price is agreed.

Order against the quotation number. Repeat the machine description and configuration as quoted. If your ERP shortens descriptions, attach the quotation to the order.
Start vendor registration early. If your plant needs us on its vendor master, send the form while you are still comparing offers. It comes back filled in with company particulars, GST registration and bank details on letterhead.
Ask for a proforma if your system needs one. Many purchase systems release an advance only against a proforma invoice. Ask, and one is raised to match the quotation.

Settle the configuration before the order is released. Changing the arch or the table height once building has started delays the machine and adds cost for both sides, whereas the same change at quotation stage only means a revised document.

Questions we are asked

Is there a minimum order for a bulk quote?

No minimum is set. Send the requirement; if a single machine is the right answer we will say so rather than pushing a second one onto the quotation.

Will you match another supplier's quotation?

We will tell you honestly where the two machines differ, which is more useful than matching a number. Two strapping machines at the same price are rarely the same machine.

Can I get pricing without giving my carton size?

You can get a list rate, but it will be a range rather than a price, and it may be a range around the wrong machine. The five minutes it takes to measure a carton saves more than it costs.

Do you quote in currencies other than rupees?

For export enquiries, yes. Say the destination and whether you want ex-works, FOB or CIF.

How long is a quotation valid?

The validity is printed on the quotation itself. Component prices move, so a quotation from six months ago is a starting point rather than a price.

Can you quote against a competitor's specification sheet?

Send it. We will tell you what the equivalent from us is and, honestly, where the two machines differ — including where theirs is the better fit.

Do you quote for a complete packing line?

Yes. Send the line as it stands — what is upstream, what is downstream, conveyor heights and the floor plan. A line is quoted as a line, not as machines added together.

Can I have the quotation addressed to our purchase department?

Yes. Give us the name and address it should carry and it arrives ready to process rather than looking like a forwarded email.

Do you charge for a site visit before quoting?

For a line or a multi-machine installation in the Delhi NCR belt, a visit is often the fastest way to a correct quotation. Ask and we will tell you plainly whether the job warrants one.
