Three things change: the packing has to survive a sea journey and a port, the paperwork has to satisfy two customs authorities, and the after-sales plan has to work at a distance. Each is dealt with below.

What to send with an export enquiry

More than a domestic enquiry needs, but it saves an exchange of emails across time zones:

Destination port or city, and the country. Freight and packing both change with it.
The commercial term you work on — ex-works, FOB or CIF. If you are not sure, say so and we will explain what each means for your landed cost.
Your forwarder, if you have one. Many buyers have a better rate with their own agent than we can get, and we have no objection to handing the consignment over.
Electrical supply at destination — voltage, phase and frequency. This is the single most common cause of a machine arriving and not running, and it is the easiest to get right in advance.
Any import requirement your country imposes — a pre-shipment inspection, a conformity certificate, a specific marking on the packing.

Testing and specifying before you order

A machine that has crossed an ocean is costly to send back, so the checking is best done while the order is still a quotation. Three things on this site help an overseas buyer decide from a distance.

A seal test on your own pouch. For pouch and bag sealing, the free seal test works by courier: five empty pouches sent to the Faridabad works, sealed on camera at three timer settings, and the video returned on WhatsApp within 48 working hours of receipt. The test is free; courier to us is at the sender's cost and the pouches are not returned.
A datasheet for the model. A datasheet gives overall dimensions and weight, the power supply and connected load, air pressure and consumption where needed, and the wear parts. Your forwarder can work out volume and weight from it, and your electrician can check the supply.
A drawing for approval. Where a project needs one, a general arrangement drawing can be issued for approval before the build. Ask at the enquiry stage, because a drawing approved late costs a build slot.

Everything is published in metric units: millimetres, kilograms, bar and microns. If your plant works in inches or gauge, convert once and put the converted figure on the enquiry.

Export packing

Sea freight is a harsher journey than road freight: weeks of humidity, salt air, container movement and handling at both ports. Packing is specified for that rather than scaled up from a domestic crate.

Where the destination requires it, timber is treated and marked to ISPM 15. Tell us the country at the enquiry stage and it is built into the quotation instead of appearing as a surprise cost later.

Documentation

The commercial invoice and packing list travel with every consignment. Beyond those, what is required depends on the destination and on your bank: a certificate of origin, a bill of lading or airway bill, an insurance certificate, and any inspection or conformity document your country demands.

Tell us what your bank and your customs broker need. Getting the document set right before shipment is far cheaper than correcting it while a container sits at a port.

HS codes on the commercial invoice

Customs at both ends classify the machine by its HS code, the six-digit Harmonized System number used worldwide. India extends it to eight digits for its tariff, and each importing country attaches its own national digits to the same first six, so your customs broker confirms the full code.

Carton sealers are generally placed under 8422.30, the subheading for machines that close and seal containers such as boxes; a few sellers classify them under 8422.40 instead.
Strapping and wrapping machines generally go under 8422.40, other packing or wrapping machinery.
Loose parts may carry headings of their own: loose cutter blades generally fall under 8208, rubber drive belts under 4010, self-adhesive BOPP tape under 3919, and parts made only for an 8422 machine under 8422.90.

A spares kit in the same crate can therefore put several codes on one invoice, each on its own line. The reasoning is set out on the HSN code page. Treat it as general guidance; classification is for your broker to confirm.

Payment routes

Export payment terms are agreed per order and stated on the quotation. Advance remittance and letter of credit are both normal in this trade; which suits you depends on your bank and the order value.

If you are working to a letter of credit, send the draft before it is opened. An LC with a term nobody can meet is a problem discovered at the worst possible moment, and reading the draft first costs nothing.

After-sales at a distance

Support across a border cannot depend on sending an engineer for every fault, so it depends on two other things: parts that are already with you, and a person who will take the call.

For an export machine we recommend a spares kit shipped with it. A part that has to clear customs after a breakdown is a part that arrives weeks late, and the cost of holding it in your store is a fraction of the cost of the wait.

Distributor enquiries are open in African markets. A distributor gets the same warranty terms and the same spare parts pricing as a direct customer — we do not run two price lists.

Consumables you can buy at destination

Every machine is built around a consumable: a strap width and thickness, a tape width, a film micron and core size. At home that is a phone call to a supplier. At an export site it decides whether the machine keeps running once the first reels are used up.

Before choosing a model, find out what your local market sells and tell us. Strap of 0.63 mm fed into a machine set up for 0.55 mm gives different results, and a carton sealer head takes only the tape widths it was built for. If the strap is known locally only by a brand name, photograph the label on the reel; its width and thickness can be read off it.

The ranges we supply are listed on machine-grade PP strap, BOPP tape rolls and stretch film rolls. On an export enquiry, ask whether a starting stock can travel in the same shipment.

Landed cost, not machine cost

The commonest mistake in an export purchase is comparing machine prices when the thing that decides the outcome is landed cost. Two ex-works prices can differ by ten per cent and the landed costs by far more.

Add the export packing, inland haulage to the port, ocean or air freight, insurance, destination charges, your customs duty and clearance, and the inland leg at your end. Ask us to quote ex-works, FOB and CIF and you can see where each of those sits and price the rest against your own rates.

Then add the part that does not appear on any quotation: what a breakdown costs when the spare has to clear customs. That is why a spares kit shipped with the machine is worth more on an export order than on a domestic one.

Marking, language and the destination's rules

Packing marks, case numbers and the language on the documents are set by the destination rather than by us. Tell us what your customs broker and your bank require and it is built in from the start.

Some markets require a pre-shipment inspection, a certificate of conformity, or a specific declaration on the invoice. These are cheap to arrange before shipment and expensive to arrange afterwards, with a container sitting at a port accruing demurrage.

If you have imported before, send us the document set from a previous shipment. It is the fastest way for us to see exactly what your side needs.

When the crate reaches your site

Check the consignment before anyone signs for it. Count the packages against the packing list, look at the crate for crushing, water marks or a torn corner, and photograph anything doubtful before the crate is opened. Note any damage on the carrier's copy; once a clean receipt is signed, a damage claim is hard for anyone to pursue.

Unpack the spares kit with the machine, check it against the quotation and store it where your fitter can reach it.

For most bench machines, commissioning can be done over a video call, and it is often quicker than waiting for a visit. Before the call, have the machine in its final position, levelled, connected by your own electrician and loaded with the consumable you will actually run. Run the first packs slowly on the machine's own settings, then write those settings down and keep the sheet at the machine. It becomes the reference both sides work from on every later call.
